02
Three months before the bridal shower
Lay the foundation with the bride.
Ask the bride's preferences
Her style, a theme she would love, the size of the guest list, and whether she wants games and a gift opening.
Build the planning team
Agree who is hosting: the maid of honor, the bridesmaids, a family member or a group of friends, and who does what.
Set the date and time
Choose a date two to six weeks before the wedding, and a start and end time. See when to have a bridal shower.
Create the guest list
Agree it with the bride in writing. Everyone invited to the shower should be invited to the wedding.
Set the budget
Revelwick's estimate for hosting a shower of eighteen guests is about $340. Split it between co-hosts before anything is booked.
Choose and book the venue
A home, a restaurant private room, a garden or a tea room. Book a hired space now.
03
Two months before
Lock in the look and the plan.
Pick the theme
Two colors and one idea are enough to order invitations and decor against.
Design the invitations
Choose paper or digital and draft the wording. See the bridal shower invitations page.
Plan the menu
Brunch, lunch, tea or a dessert party. Decide whether to cater, cook or use a restaurant menu.
Confirm the registry
Make sure the couple's registry is ready before the invitations go out.
Hire vendors if needed
A caterer, a bakery, a florist or a photographer.
04
Four to six weeks before
Send the invitations and plan the activities.
Send the invitations
Include the date, time, address, host, registry and an RSVP date about two weeks before the shower.
Plan games and activities
Choose one or two bridal shower games, or an activity like a flower bar or an advice card station.
Order the cake and desserts
Three to four weeks ahead for a bakery, longer in spring and summer.
Plan the gift opening
Decide whether gifts are opened at the shower, and name someone to write down who gave what.
05
One to two weeks before
Confirm the details.
Follow up on RSVPs
Check with guests who have not replied.
Confirm the headcount
Give the final guest count to the caterer or restaurant.
Confirm the vendors
Delivery and pickup times for the cake, flowers and rentals.
Buy decor, favors and supplies
In one order: decor, favors, napkins, candles, pens and game supplies.
Make a day of schedule
Arrival, food, games, gift opening, cake and a toast, with an end time.
06
The day before, the day of, and after
Setup, the celebration, and thank you notes.
The day before
Prepare make ahead food, set up tables if you can, charge a phone for photos, and prepare the gift table and a bag for cards.
The day of
Collect the cake, set up the food table and the gift table, chill the drinks, and be ready before guests arrive.
During the shower
Welcome guests, serve food, play the games, open gifts, and give a short toast to the bride.
After the shower
Help the bride take gifts home, share photos, and give her the list of who gave what so she can send thank you notes within two to three weeks.
4
Deadlines, not forty
The guest list, the room, the invitations, and the headcount.
The guest list, the venue if it is hired, the invitations and the final headcount each have somebody waiting for an answer. Most other items on a bridal shower checklist are shopping, which has a delivery time rather than a deadline, so they can be grouped into one or two orders closer to the day.
07
How to use a bridal shower checklist
The binding dates, who does what, and what can wait.
A bridal shower checklist turns a two hour celebration into a set of tasks with dates and owners. Most of the planning happens in three windows: three months out for the guest list, date and venue; four to six weeks out for invitations and activities; and the final two weeks for the headcount, shopping and setup.
Four deadlines, and the rest is shopping
Four items have somebody waiting on the other end: the guest list with the bride, the venue if it is hired, the invitations, and the final headcount. Decor, favors, the playlist and game supplies have a delivery time rather than a deadline, so group them into one or two orders closer to the day and keep the early weeks for the decisions that bind.
Put a name against every item
A checklist works when each task has an owner. A common split is that the host pays and handles the food, the maid of honor sends the invitations and runs the games, and a bridesmaid or family member handles decor and setup. Share the list with everyone involved in the planning so nobody assumes someone else is doing it.
When to have the bridal shower
Two to six weeks before the wedding is the usual window, on a weekend afternoon. Earlier works for a long engagement or when out of town guests are traveling for another event. Avoid the final week before the wedding, which is already full.
Plan the day's schedule
For a two hour shower: thirty minutes for arrival, drinks and food, a game, the gift opening, then cake and a toast. Eighteen gifts opened one at a time can take close to an hour, so start the gift opening on time and keep it moving.
Games and activities
One or two games are enough for a two hour shower. Choose them in the last month, print what you need in the final week, and have prizes ready.
If the shower is a surprise or virtual
For a surprise shower, coordinate the date with the partner or a family member, and send invitations with a clear note to keep the secret. For a virtual shower, send the video link with the invitation and ask guests to ship gifts to the bride ahead of time.
A printable version
Copy the timeline into a shared document or print it, and tick off each task as it is done. Keeping the list in one shared place means every host and bridesmaid can see what is left.

What the figures are
Every cost on this page is a Revelwick editorial estimate for a bridal shower of about eighteen guests. It is a starting point for a budget conversation rather than a quote, and prices move, so check the current price before you book anything.
The timeline
The three month planning window, invitations four to six weeks before the shower, and an RSVP date about two weeks before are common planning guidance. The shower date, two to six weeks before the wedding, matches the site's page on when to have a bridal shower.
